1. Data Controller

The data controller for FlowOS is Filip Sardi, operating through Lansiraj d.o.o., trading as Client Flow. For all privacy inquiries, contact filip@filipsardi.com.

2. Data We Collect

We collect the following data to provide and improve FlowOS:

  • Account data: Name, email address, location, business name, profile photo
  • Business data: Diagnostic responses, BusinessDNA profile, niche, website, social links
  • Platform activity: Task completions, pulse check-in responses, wins logged, AI chat conversations, vault documents
  • Voice data: Audio recordings submitted through pulse check-ins (transcribed and stored as text)
  • Call data: Call recordings, transcripts, and summaries from integrated video conferencing tools
  • Usage data: Page views, feature usage, session timestamps for platform improvement

3. How We Use Your Data

  • To provide personalized strategy gameplans and AI-powered insights
  • To calculate your Client Flow Score and track progress over time
  • To power AI chat with context about your business and goals
  • To generate pulse analysis, briefings, and recommendations
  • To send transactional emails (login links, pulse reminders, gameplan delivery)
  • To improve the platform based on aggregate, anonymized usage patterns

4. AI Processing

FlowOS uses Anthropic Claude (Sonnet 4.6 and Haiku 4.5 model families) to power the following AI features:

  • Flowie: conversational AI strategist that references your profile, diagnostic, and gameplan
  • FlowMapper: AI-powered diagnostic that interviews you about your business and identifies retention gaps
  • BusinessDNA: AI-powered onboarding that maps your offer, model, and tools
  • Gameplan parser: AI synthesizes your diagnostic + call transcript into a structured 90-day plan, reviewed by Filip Sardi before delivery
  • Waves: AI-powered strategic tools that generate practical artifacts (frameworks, sequences, scripts)
  • Pulse analysis: AI scoring and commentary on your weekly check-ins
  • Flowie persistent memory: short summaries of past conversations stored to provide continuity. You can request deletion of this memory at any time

We use Anthropic's standard API tier under their data processing agreement. Your data is used solely to deliver the service and is not used to train Anthropic's foundational models.

AI-generated insights inform, not replace, human judgment. All gameplans are reviewed by Filip Sardi before delivery. AI does not make automated decisions about you in the sense of Article 22 GDPR.

5. Data Storage

Your data is stored securely using industry-standard cloud infrastructure with row-level security policies. All data is encrypted in transit (TLS) and at rest.

6. Data Sharing

We do not sell, rent, or share your personal data with third parties for marketing purposes. Data is shared only with:

  • AI processing services, strictly for platform functionality
  • Infrastructure and hosting providers
  • Video conferencing and scheduling tools for call management
  • Payment processors for transaction processing
  • Analytics services for platform improvement

7. Cookies and Analytics

FlowOS uses essential cookies for authentication and session management. We also use analytics tools (including Vercel Analytics, Matomo, and Meta) to understand platform usage and improve the service. You may manage your cookie preferences through your browser settings.

8. Your Rights (GDPR)

If you are in the EU/EEA, you have the right to:

  • Access: Request a copy of all data we hold about you
  • Rectification: Correct inaccurate data through your profile settings
  • Deletion: Request permanent deletion of your account and all associated data
  • Export: Receive your data in a portable format
  • Object: Object to specific processing activities
  • Restrict: Request restricted processing while disputes are resolved

9. Data Retention

We retain your data for as long as your account is active. After account deletion, your data is permanently removed within 30 days. Anonymized, aggregate data may be retained for analytics.

10. Children

FlowOS is not intended for use by individuals under 18 years of age. We do not knowingly collect data from children.

11. Changes

We may update this policy with reasonable notice. Material changes will be communicated via email.
